7 reasons to outsource office cleaning in Singapore

Why many Singapore offices outsource cleaning instead of hiring in-house, from cost and cover to licensing, plus what to check before you sign.

A clean office is something staff and visitors notice straight away, and notice even more when it slips. For most small and mid-sized companies, the practical question is not whether to clean but who should do it: staff, an in-house cleaner or an outside cleaning company.

Here are seven reasons many Singapore offices choose to outsource, and what to check before you do.

A plan built around your office

No two offices are used the same way. A 10-person consultancy needs something very different from a 60-seat office with a busy pantry and two sets of toilets.

A good cleaning company starts by asking about your floor area, headcount, working hours and problem areas, and may visit the site for more complex offices. The result is a written scope that covers what you need, whether that is light cleaning once or twice a week or daily cleaning from Monday to Friday. When your needs change, the plan can be adjusted.

Predictable cost, less admin

Hiring an in-house cleaner involves more than a salary. You also have CPF contributions, leave and medical cover, recruitment, training, supervision and finding someone to fill in when they are away.

With an outsourced service you agree the hours, frequency and rate up front. The cleaning company handles employment, training and scheduling, and you deal with one invoice. For many smaller offices, a few hours a week from a contractor costs less than a full-time hire. Our office cleaning cost guide explains how hours, frequency and supplies shape a quote.

Cleaning that does not disrupt work

Vacuuming beside a client call or mopping the pantry at lunchtime helps nobody. Outsourced cleaners can work after hours, early in the morning or on Saturdays, so the office is ready when staff arrive.

Licensed and trained cleaners

In Singapore, a business that provides general cleaning at offices and other non-domestic premises needs a cleaning business licence from NEA. Cleaning of domestic premises is listed by NEA as excluded cleaning work, so a company that only cleans homes does not need one, but any company you hire for general cleaning in your office does. Licensing requirements cover areas such as cleaner training and a progressive wage plan under the Progressive Wage Model.

A licensed company also knows how to use chemicals safely: which products suit which surfaces, how to dilute them, and why bleach must never be mixed with ammonia or acid-based cleaners. You can ask for the licence details before you sign. KleanSG holds an NEA Class 2 Cleaning Business Licence, and the licence number and NEA’s public list are on our credentials page.

Cover when someone is away

When an in-house cleaner falls ill or goes on leave, cleaning usually stops or falls to whoever is nearest. A cleaning company can send a replacement.

At KleanSG, a replacement cleaner can usually be arranged if your scheduled cleaner is unavailable. If a replacement cannot be provided for a missed session, the contract is prorated for the affected hours.

Staff can focus on their work

When toilets, the pantry and the bins are kept in order on a schedule, staff stop spending time wiping counters, chasing who left the dishes or emptying overflowing bins. It also removes a common source of friction between colleagues.

A cleaner, well-kept office is simply more pleasant to work in, which matters when you are competing to hire and keep good people.

A better impression on visitors

Clients and candidates judge an office in the first few minutes: the reception counter, the meeting room, the glass doors and, very often, the toilets. Regular professional cleaning keeps these areas presentable every day, not only before an important visit.

What to check before you outsource

Before signing, make sure the following are clear in writing:

  • Scope: which areas and tasks are included, and how often.
  • Hours: how many hours per visit and at what time. KleanSG generally prefers a minimum of 3 hours per visit, with 2 hours considered for very small offices.
  • Supplies: who provides cleaning products and equipment. For KleanSG’s regular office cleaning, clients generally provide them, or KleanSG can supply them at an additional cost.
  • Contract period: KleanSG’s regular office plans usually run for one year, which can be shortened or extended depending on your needs.
  • Start date: placement generally takes 2 to 3 weeks, depending on manpower and requirements.
  • Feedback: who you contact if something is missed.

If you are ready to compare options, see KleanSG’s office cleaning plans. Share your office location, size, preferred frequency and schedule, and the team can advise on a suitable arrangement.
