A useful office cleaning checklist covers the areas people use every day, gives each task a sensible frequency and makes clear who checks the result. Adjust the tasks below to your office size, staff count, visitor traffic, operating hours, pantry and toilet use, and agreed scope.
Office cleaning at a glance
| Frequency | Main focus | Manager’s check |
|---|---|---|
| Daily or each visit | Bins, spills, floors, toilets, pantry surfaces, entrances, agreed touchpoints | Anything dirty, unsafe, overflowing or short of supplies? |
| Weekly | Glass doors, partitions, chairs, reachable ledges, corners, skirting, appliance exteriors | Dust, fingerprints or marks building up outside the daily route? |
| Monthly or periodic | Under movable items, higher reachable surfaces, storage, detailed work | Does the scope or frequency need to change? |
This is a starting point, not a service specification. Confirm the final task list, access rules and frequency with your cleaning provider.
Before the first clean
Walk through the office and record:
- which workstations and rooms may be entered
- whether desks must be cleared before wiping
- how confidential papers and personal items are handled
- which electronic equipment must not be touched
- where cleaning tools and products are stored
- who supplies consumables, products and equipment
- how alarms, keys, access cards and after-hours access work
- where rubbish and recycling go
- which floors or surfaces need special products
- who receives reports of spills, leaks, damage or low stock
Keep walkways, exits and emergency equipment clear. Control loose cables, use wet-floor signs, follow each product label and never combine products.
Daily checklist
Entrance and reception
- Remove visible litter.
- Check entrance mats for dirt, curling edges or moisture.
- Vacuum, sweep or mop the agreed floor area.
- Wipe the reception counter where clear.
- Clean fingerprints from reachable glass doors, if included.
- Check walkways and exits are clear.
Workstations and shared desks
- Empty agreed desk-side bins.
- Wipe clear, agreed work surfaces without moving papers or personal items.
- Remove dust from reachable surfaces.
- Wipe shared desk touchpoints, if included.
- Push chairs into a safe position.
- Report spills, damaged furniture or loose cables.
Never spray liquid directly onto computers, monitors, power points or other electronics.
Meeting rooms and common areas
- Wipe clear meeting tables.
- Reset chairs.
- Empty bins.
- Remove marks from agreed door handles and switches.
- Check whiteboard trays and ledges, if included.
- Vacuum or mop the floor.
- Leave shared equipment and cables safely arranged.
Pantry
- Wipe the sink, tap and countertop.
- Remove crumbs and food residue.
- Clean fresh spills promptly.
- Wipe agreed appliance handles and exteriors.
- Empty the bin before it overflows.
- Check the floor around the sink, bin and drinks area.
- Refill agreed consumables or report low stock.
Staff should clear their own food, cups and spills where workplace policy requires it. Set a clear rule for expired food and unlabelled containers.
Toilets and wash areas
- Clean toilet bowls, seats and outer surfaces using the approved method.
- Clean sinks, taps and mirrors.
- Wipe door handles, locks and agreed touchpoints.
- Empty bins.
- Mop the floor and use a wet-floor sign until it is dry.
- Refill or report low toilet paper, soap and paper supplies.
- Report leaks, blockages, damage or persistent odour.
Use colour-coded tools or another agreed method so toilet cloths, brushes and mops never reach the pantry or desks.
Floors, bins and touchpoints
- Vacuum, sweep or mop to suit the floor type.
- Clean spills promptly.
- Empty agreed rubbish and recycling bins.
- Replace liners, if included.
- Check lift buttons, door handles, switches and shared counters, where part of the office scope.
- Clear obstacles from the cleaning route without blocking exits or emergency equipment.
If disinfection is required, confirm it is in scope and follow the label, surface compatibility and contact time.
Weekly checklist
- Clean reachable glass doors and internal partitions, if included.
- Vacuum fabric chairs and sofas with a suitable tool.
- Wipe cabinet tops, open shelving and reachable ledges.
- Clean skirting and corners the daily route misses.
- Wipe microwave, fridge and water-dispenser exteriors.
- Clean meeting-room corners and chair bases.
- Dust reachable window ledges.
- Wipe agreed door frames and handles.
- Check behind light, movable items where safe.
- Inspect cleaning tools, cloth separation and supply storage.
Busy offices may need some of these more often.
Monthly or periodic checklist
- Clean under movable furniture, where safe and in scope.
- Dust higher, safely reachable ledges and external vent grilles.
- Inspect storerooms and low-use corners.
- Spot-clean suitable marks on doors or walls after checking the surface.
- Review pantry cupboards under the agreed disposal rule.
- Check floor edges and areas behind doors.
- Review consumable stock and tool condition.
- Note recurring spills, odour, waste or clutter.
- Decide whether the task list or visit frequency should change.
Do not use this list to assign unsafe high-level work, heavy furniture moves, internal air-conditioner maintenance, external windows or specialist treatment without a separate assessment.
Setting the right frequency
There is no single schedule for every Singapore office. Consider:
- number of people using the space
- visitor and meeting-room traffic
- pantry use
- whether toilets are private or heavily shared
- floor type and entrance exposure
- operating hours and after-hours access
- waste volume
- current problem areas
- time and manpower per visit
A small, low-use office may not need the full routine every day. A busy one may need daily attention to bins, pantry, toilets, entrances and touchpoints even if desk work is less frequent. Review after the first few weeks.
Who owns the checklist
Name one workplace representative to coordinate with the cleaner. That person should:
- approve the scope and access rules
- explain confidential-area and equipment restrictions
- confirm who supplies consumables
- review exceptions and missed tasks
- report changes in staffing, office use or hours
- approve additional or specialist work before it starts
Staff help by clearing their own spills, keeping walkways free of boxes and not leaving confidential material in cleaning areas.
Tasks that need separate scope
- carpet extraction or specialist stain treatment
- internal appliance cleaning
- high-level or external window work
- post-renovation dust and residue
- heavy furniture moves
- disinfection or incident-response cleaning
- pest-control treatment
- confidential waste removal
- maintenance or repairs
- work needing unusual access, equipment or permits
Not every mark can be removed: results depend on the material, age, cause and previous treatment.
KleanSG provides commercial office cleaning for corporate offices, SMEs and commercial units across Singapore, on regular contracts or as ad hoc visits, including after-hours and Saturday cleaning where access and manpower allow. Clients generally provide supplies and equipment; KleanSG can provide them at additional cost if agreed. See the office cleaning cost guide for how quotes work and the ad hoc hourly rate. Lobbies, lift areas, corridors and common toilets outside your tenancy fall under MCST cleaning.
